REFUND POLICY
FitFuel Nutrition, LLC
1. General Policy
FitFuel Nutrition, LLC is committed to delivering high-quality gym access, personal coaching, and nutrition support. Because our services involve time, scheduling, and program preparation, all purchases are subject to the refund terms outlined below.

2. Membership Fees (Gym Access)
2.1. Non-Refundable Fees
• All membership purchases are non-refundable once activated.
2.2. Exceptions for Refund Consideration
Refunds for unused membership time may be considered if:
• You experience a documented medical condition that prevents physical activity.
• You relocate more than 20 miles away from FitFuel Nutrition, LLC (proof required).
• FitFuel Nutrition, LLC is unable to provide facility access for more than 7 consecutive days due to operational issues not caused by events outside our control (e.g., severe weather, natural disasters).
Approved refunds will be prorated based on the unused portion of the membership term.

3. Personal Training, Physical Therapy, Cryotherapy, & Coaching Services
3.1. Session Packages
• All purchased personal training or coaching sessions are non-refundable.
• Sessions may be transferred to another individual with prior approval from FitFuel Nutrition, LLC.
3.2. Cancellation & Rescheduling Policy
• A minimum of 24 hours’ notice is required to cancel or reschedule a session without penalty.
• Cancellations made with less than 24 hours’ notice will result in the session being forfeited or a charge for the session.
• Fees for forfeited sessions are non-refundable.
3.3. No-Show Policy
Failure to attend a scheduled session without prior notice will result in the session being marked as used and it will not be refunded or rescheduled. A charge for the missed session will apply.

4. Online Coaching & Digital Programs
• Due to immediate access to digital material, all online coaching programs, digital resources, and downloadable content are non-refundable.
• If you experience technical difficulties accessing your content, FitFuel Nutrition, LLC will assist until the issue is resolved.
• For online coaching services, clients must notify their coach prior to the recurring monthly invoice date if they wish to cancel. Once an invoice has been issued, the full amount is due and payable, and cancellations will not be accepted for that billing cycle.

5. Promotional Offers, Discounts & Trials
• Any promotional memberships, discounted packages, or trial offers are non-refundable and non-transferable.
• Early cancellation of a promotional contract may result in additional fees or forfeiture of the promotional rate.

6. Payment Disputes & Chargebacks
Clients agree to contact FitFuel Nutrition, LLC regarding any billing concerns before initiating a chargeback with their payment provider.
Unauthorized chargebacks may result in account suspension and applicable fees.

7. How to Request Consideration for a Refund
To request a review under the approved exceptions, please email adownes@fitfuelnutritionllc.com with the following:
• Full name
• Membership or coaching plan
• Reason for the request
• Supporting documents (medical documentation, relocation proof, etc.)
Refund review decisions are completed within 5–10 business days.

8. Policy Updates
FitFuel Nutrition, LLC reserves the right to update or modify this Refund Policy at any time. Updates will be posted in-facility and on our website.
